FUNCTION COORDINATOR
FACILITIES DESCRIPTION:
Private Member owned club with golf, tennis, paddle tennis, trap shooting and swimming pool. Very active dining and events operation. Open year round.
CANDIDATE QUALIFICATIONS:
Essential Functions: Functions and Events: • Works with Clubhouse, Assistant Manager and Executive Chef in regard to daily food and beverage service as it relates to a la carte dining, club, sporting and private events. • Answer phones and emails in a prompt courteous manner. • Coordinates weekly function write ups, change sheets and final number guarantees for all events. All write ups are to be distributed on Wednesdays in preparation for Thursday party meeting. Change sheets are to be issued immediately after party meeting. • Ensures front desk reservations are being made and proper information on all club events is properly displayed and coordinated with front desk. • Ensure member bulletin boards in locker rooms, golf shop and front desk have all appropriate information that is time sensitive. All boards are to be neat and orderly. • Manage the function calendar to ensure Prelims are being made, dates and times are accurate and all contact information is accurate. • Set up and manage write up folders by month and week on shared drive so all information is easily accessible. • Manage all folders for events that repeat (ex: Italian Night, Men’s Invitational.) These events are to have their own specific file with copies of write ups, preliminary profit and loss statements and final profit and loss statements. In addition audio tapes from managers running events need to be completed and added to the tape. • After each event the following years write up should be established. • Keep files and calendars for one year ahead on the shared drive. • Follow up with Business Office to ensure all “Unrelated Business Income” forms are being filled out properly and a spreadsheet is being kept with the UBIT revenue. • Responsible to coordinate event flowers, tents, rental equipment, event decor and music as needed for events. Ensure invoices are turned in so billing can be done in a timely manner. • Party Bills: responsible for having private party bills and club event P&L’s done within three days of the event with all proper documentation and have Clubhouse Manager sign off on them. • Coordinate with Clubhouse Manager the printing and distribution of menus for ala carte and events. • Develop with Executive Chef and Clubhouse Manager seasonal banquet menus in a succinct brochure for members. Qualifications: Progressive management experience in food and beverage operations, including budgetary and supervisory responsibilities. Previous restaurant, hotel or club experience is desirable. TIPS and ServSafe trained.
